The annual general meeting will take place on Tuesday 13 May 2008, at 9pm, the Snack Bar, Students' Union.

We will be electing the committee for next year, as well as giving you a brief overview of the society's activities and for the past year.

I heartily recommend that anyone interested in a committee position should give it a go. It's a great way to gain experience running events, and looks good on the old CV.

Read on for more information on the committee positions up for grabs, and details of the AGM.The treasurer will be on hand to provide details of our finances to anyone who wants to know.

5. Responsibilities of the Officers:
5.1 Executive Committee
5.1.1 The President
- Outgoing: Andrew Gordon
The President shall oversee the general running of the Society and be ultimately responsible for the smooth running of all club activities. In this role they should actively keep up to date on all aspects of the society, ensuring that problems are dealt with efficiently and before causing significant disruption. They are responsible for delegation of tasks to the committee members and ensuring that those tasks are completed. They shall also be responsible for ensuring good relations with of the Students Union members and Queens University staff to fulfil the objectives of the society. The President will be responsible for arranging sponsorship for the Society. This includes provision for promotion, special prizes and affiliation arrangements.

5.1.2 Secretary Outgoing: Jonathan Curran
The Secretary will take minutes at all meetings of the Society and be responsible for all the correspondence of the Society. They shall ensure to keep a record of both. They are also responsible for providing the Vice President Clubs and Services with an annual report, not later than the 1st of November each year. The secretary will be responsible for the arrangement of venues for all of the Societies meetings. The Secretary will be responsible for the storage and allocation of the various assets of the Society, including Games Consoles, Society Books, etc. They will also be responsible for the maintenance of a database of all club resources and their allocations.

5.1.3 Treasurer Outgoing: Killian McKeever
The Treasurer will have responsibility for all the Society’s finances, including the collection of subscription payments, ensuring the society remains financially secure, ensuring the society honours payments owed, collection on society debts and the maintenance of the society account. The Treasurer will provide reports to the Executive Committee on the financial standing of the Society each month, and a detailed report of the Society’s financial status at the Annual General Meeting. The Treasurer is also responsible for communicating with the Vice President Clubs and Services on financial matters including the provision of estimates for expenditure.

5.2 Ordinary Committee
5.2.1 Senior Games Master (GM)
Outgoing: n/a
The Senior GM will have the responsibility of ensuring that there is always a wide selection of games (Wargaming, Roleplaying and TCG/CCG) available to the members. They are required to assist members in finding a game that appeals to them, ensuring that as many people as possible are accommodated. The Senior GM should look to enhance the Society by developing competitive gaming (both internal and external) and developing innovative ideas to expand the interests of the Society. The Senior GM should have extensive experience in gaming, preferably for a term of at least 3 years.

5.2.2 The Publicity Officer Outgoing: Ric Boyd
The Publicity Officer will be responsible for all publicity relating to the Societies activities. This includes external publicity to non members, such as that for recruitment, regular meetings or open events; and internal publicity to the membership, such as that for social events or closed events. They should consider use of all advertising medium, including, but not limited to posters, leaflets, Internet content, society newsletter and mass media. The Publicity Officer will ensure consultation with the Committee on all publicity campaigns and materials. They will also be responsible for the monitoring of the performance of the publicity, and reporting problems to the Committee. The Publicity Officer must be competent in the core elements involved in carrying out the duties of the position.

5.2.3 Webmaster Outgoing: Steve Dickey
The Webmaster will be responsible for building and maintaining the website, maintaining domain names, email accounts, chat rooms and all other official online electronic assets of the club. The Webmaster will also be responsible for policing the forums to ensure use consistent with the rules laid out in the terms of use policy. The Webmaster will not be responsible for the generation of web content, but may be responsible for placing it onto the web site. The Webmaster must be competent in the core elements involved in carrying out the duties of the position, for example experience with HTML, XML, PHP, MySQL, Mambo CMS, and phpBB.

5.2.4 Events Manager Outgoing: Nikki Meighan
The Events Manager will be responsible for organising the social and special events schedule of the club (7.2). They will, in liaison with the Treasurer, arrange purchase or hire of necessary facilities, materials, equipment, resources and services needed for each event. They shall ensure publication of the details of each event to the membership, and ensure that sufficient feedback is gathered afterwards. The Events Manager may be required to write articles for the Society web site and news letter. All events are subject to approval by the Executive committee. The Events Manager must be competent in the core elements involved in carrying out the duties of the position.

5.2.5 Member's Representative Outgoing: Caspar Love
The Members Representative will be responsible for ensuring communication between the Committee and members of the club. They must be available for club members to approach about a problem with the club or another member. They shall then be responsible for ensuring the matter is brought up with the committee, and ensuring confidentiality where it is requested. The Members Representative is responsible, in conjunction with the Treasurer, for ensuring that all club attendees are fully paid up members and that all members’ details are kept in a secure database. Only the Executive Committee and the Members Representative are permitted access to the database. The Members Rep. should work with the PO to ensure that the society continues to recruit new members.

5.2.6 Anime Coordinator Outgoing: Holly Grimes
The Anime Coordinator is responsible for all the Anime related activities of the Society. They will ensure that weekly screenings take place in Queens University at the regular Dragonslayers meetings, that semi regular larger scale Anime events take place where appropriate, and that adequate provision for Anime at Q-Con (The yearly Society flagship event) is arranged. The Anime Coordinator will be responsible for arranging facilities to conduct Anime Screenings (with the assistance of other members of the Committee where required), ensuring that the technical aspects are arranged (such as audio and video), procuring media to show at each Anime event, and where appropriate liaising with Anime distributors to settle copyright issues and arrange sponsorship. The Anime Coordinator must be competent in the core elements involved in carrying out the duties of the position.

5.2.7 Console Gaming Coordinator Outgoing: Ryan Hamilton-Bryce
The Console Gaming Coordinator will have the responsibility of ensuring that there is always a wide selection of games (electronic games console-based) available to the members. They are required to assist members in finding games that appeal to them, ensuring that as many people as possible are accommodated. The Console Gaming Coordinator should look to enhance the Society by developing competitive gaming (both internal and external) and developing innovative ideas to expand the interests of the Society. The Console Gaming Coordinator should have extensive experience in console gaming, preferably for a term of at least 3 years.

6. Eligibility, Nomination, and Election of Officers:

6.1 Eligibility in the case of officers for the Executive Committee is derived from all fully paid-up Ordinary Members of the society.

6.2 Eligibility in the case of officers for the Ordinary Committee is derived from all fully paid-up Ordinary and Associate Members of the society.

6.3 The full committee of the Society shall be elected at the Annual General Meeting.

6.4 Associate Members shall have the same privileges as Ordinary members, except the privilege of holding office in the Executive Committee of the society.

6.5 Only fully paid-up Members of the Society can vote at Elections and any General Meeting.

6.6 Candidates for election to any office must be nominated and seconded by a Member of the Society in writing, or verbally to the President. If only one candidate is available, the Members can vote to accept or reject his election. If two or more candidates run for the same position, a vote will be taken of the members present at the AGM. All elections will be through secret ballot, or by unanimous consent of all Members present at the AGM, an open ballot. In all cases, however, the Members standing for election may be asked to leave the Meeting Room during the voting procedure, if the majority of the voting membership deems it necessary.
